Position Title: Finance Administrative Clerk

Reports to: VP of Finance

Pay Range: $+

Position Purpose: The Finance Administrative Clerk will support the clerical functions within the Financial department

RESPONSIBILITIES:

  • Answer the main phone line and take messages or redirect the calls to the appropriate colleagues
  • Greet and assist visitors
  • Receive & date stamp incoming mail
  • Stamp outgoing mail
  • File accounts payable
  • File accounts receivable
  • Print & date stamp the incoming emailed invoices & file for processing
  • Print & date stamp downloaded invoices (Echo, FedEx, UPS, etc.)
  • Match the invoice to the PO & receiver
  • Match Bill of landing to freight invoices
  • Email accounts receivable invoices
  • Schedule FedEx shipments for office staff
  • Assist in making travel arrangements and book venues for meetings and events
  • Assist with purchasing supplies
  • Undertake basic bookkeeping tasks
  • Take minutes of meetings
  • Perform other office duties as assigned

ESSENTIAL SKILLS REQUIRED: An ideal candidate will have ability to multitask several duties at once and prioritize them.

EXPERIENCE REQUIREMENTS: prior experience as an office clerk or other clerical position, familiarity with office procedures and basic accounting principles, knowledge of MS Office, excellent communication skills and high school diploma.
